Need some help, does anyone know of any good websites that you can use to keep a diary of things like appointments, phone messages etc in an office setting?
I know Outlook do things like this but was thinking more of a web based application.

Try Google Calendars.

I find it very good and is easily integrated with your phone etc

What about just OWA version of Outlook, the Web App?

This one works great.  Gmail is also very useful for storing documents

Hotmail has calendar functionality as well. Plus you can now creat/edit office docs online as well.
You can sync the calendar with outlook and with a number of different phones. E.g. iPhone

Sharepoint is probably what you want..

I would go with a CRM - this way you can build on it if necessary. With Google docs or Hotmail you are limiting yourself to zero growth. With a free CRM (think you can have up to 3 users) you have all the tools you need, online.
